Privacy policy

This policy covers the BigPool Rooms website and the sponsorship packages sold on it. The BigPool game has its own privacy policy at bigpool.app/privacy.

Who is responsible

What we collect

When you buy: your name, email address, company name and billing details. Payment is handled by Stripe, which receives your card details directly; we never see or store your full card number.
To build your room: the logo, colours, links and other brand material you send us.
When you write to us: your email and whatever you choose to include.

This website does not use analytics, advertising or tracking cookies. Our web server keeps standard access logs (IP address, browser and pages requested) for up to 30 days for security. Fonts are loaded from Google Fonts, which receives your IP address when the page loads.

Why we use it

To take payment, deliver your package and send you receipts and service messages (performance of our contract with you).
To keep financial records we are required to keep by law (legal obligation).
To protect the site from abuse (our legitimate interests).

We do not sell your data and do not use it for advertising.

Who we share it with

Stripe (payments), our email provider Zoho (correspondence) and our hosting provider Amazon Web Services (servers in the European Union). Each processes data only on our instructions. Some providers may process data outside the UK; where they do, they rely on approved safeguards such as the UK International Data Transfer Addendum.

How long we keep it

Purchase and billing records for six years, as UK tax law requires. Brand material for as long as your room is live and 90 days after. Correspondence for up to two years after it ends.

Your rights

Under UK data protection law you can ask to access, correct, delete or export your personal data, or object to how we use it. Email partners@bigpool.app and we reply within one month. You can also complain to the Information Commissioner's Office at ico.org.uk.
